Problem

The IEAF, the Instituto Español de Analistas Financieros, Spain's reference body for financial analysts since 1965, together with its FEF foundation and its training school, ran membership, billing and accounting on a patchwork of disconnected tools. Member records lived in one place, invoices were raised on WordPress/WooCommerce sites, and accounting happened somewhere else entirely. Nothing reconciled automatically: every invoice issued on the web had to be re-keyed into the books, membership renewals and categories were tracked by hand, and the finance team worked from numbers that were always days behind reality.

Approach

We scoped a single source of truth and a clear division of responsibilities before migrating anything. Odoo would become the operational and financial core, the system of record for members, invoicing and accounting. The existing WordPress sites would stay as the public-facing surface members already know, for sign-ups and online payments. Between them, a real-time integration layer would keep both perfectly in sync so data is entered once and flows everywhere. We sequenced the rollout to avoid disrupting an active membership base mid-cycle.

Solution

We implemented Odoo with its Accounting module configured for Spanish requirements, and built a member-management system covering the full lifecycle: sign-up, categories and tiers, renewals, status changes and history. We then developed a real-time connector between the WordPress/WooCommerce billing sites and Odoo, so every order placed on the web automatically creates the matching customer, invoice and accounting entry in Odoo. No re-keying, no nightly export. The two systems share one consistent view of every member and every transaction.

Outcome

IEAF now runs on one connected platform. Members, invoicing and accounting live in a single system, and the WordPress sites feed Odoo automatically the instant a payment is made. Manual reconciliation between the web and the ledger has been eliminated, the finance team works from real-time figures instead of week-old spreadsheets, and the institute has a foundation that scales with its members, its FEF foundation and its school rather than fighting it.
